We've added more custom category templates!

Getting started with expense categorization just got a lot easier. In our April 2026 update, we launched a new set of custom category templates designed to help small businesses hit the ground running without spending time building category structures from scratch.

Here's what's new at a glance:

  • New templates for real estate, healthcare, logistics, and more
  • Pre-loaded with the most common expense types for each industry
  • Fully customizable so the AI categorizes transactions your way
  • Works across receipts, invoices, and bank statements

What we added

We've expanded our template library to cover more of the industries our users work in every day. Whether you're managing property expenses, tracking medical supply costs, or logging freight and delivery charges, there's now a starting point built for your context.

The new templates include categories tailored for real estate, healthcare, and logistics, alongside additional options for other common small business use cases. Instead of staring at a blank setup screen, you can pick a template that already reflects how your industry thinks about expenses.

Each template was built by looking at real categorization patterns across thousands of documents processed through ReceiptsAI. That means the categories you start with are not guesses. They reflect the expense types that actually show up most often in each industry, which gives the AI a meaningful head start when it begins sorting your transactions.

We also paid close attention to the language each industry uses. A logistics business does not think about expenses the same way a healthcare practice does. The templates reflect those differences, so the default category names already feel familiar rather than generic.

How it works

When you set up a new workspace or start a fresh categorization project, you can choose a template that matches your business type. The template loads a set of pre-built expense categories drawn from the most common patterns we see in that industry.

From there, the ReceiptsAI engine uses those categories to sort your receipts, invoices, and bank statement transactions automatically. If the default categories do not fit your exact workflow, you can edit, rename, or add categories at any time. The AI adapts to your changes and applies your updated structure to future transactions going forward.

You are never locked into the template you start with. Think of it as a well-informed first draft that you can shape into exactly what your business needs. Some users keep the defaults almost entirely intact. Others use the template as a foundation and build something more specific on top of it. Both approaches work well.

The goal is simple: less setup friction, more accurate categorization from day one.

Built for small businesses

Small business owners should not have to spend hours configuring software before it becomes useful. These templates are our way of reducing that barrier. You get a sensible structure immediately, and you keep full control to shape it as your needs evolve.

This matters most in the early stages of using a new tool, when the gap between getting started and getting value can feel frustratingly wide. A good template closes that gap. It gives you something real to work with right away, so you can focus on reviewing your categorized expenses rather than deciding what your categories should even be.

If you have not explored the templates yet, head into your ReceiptsAI settings and look at what is available for your industry. It takes a few clicks to get started, and you can switch or adjust your template at any point as your business grows or your needs change.
